Information We Collect

To provide the service, we collect:

• Account information you give us — such as name, email, phone, company, and title — when you request a demo, create an account, or contact us.
• Business data you enter into the app — quotes, orders, customers, artwork, invoices, payments, and similar records you use PromoSoft to manage.
• Billing information needed to process your subscription, handled through our payment processor.
• Basic technical data — such as log and device information — used to keep the service secure and running.

How We Use Your Information

We use your information solely to operate, secure, support, and improve PromoSoft for you — to run the features you use, process your subscription, provide customer support, and communicate with you about your account. We do not use your business data or your customers' data for advertising, and we never build or sell profiles from it.

When We Share Information — Only With Your Authorization

We only transmit your data to an outside party when you turn on and use an integration, and only the specific data required to complete the action you asked for. For example:

• Payment & merchant processing — when you accept a payment, the order and payment details go to your connected payment processor to complete the transaction.
• Accounting (QuickBooks) — when you connect QuickBooks, invoices and payments you choose to sync are shared with your QuickBooks account.
• Shipping (UPS, FedEx, ShipStation) — when you create a label or track a shipment, the addresses and parcel details needed for that shipment are sent to the carrier or shipping platform you selected.
• Suppliers & vendors — purchase order details are sent to a supplier only when you choose to send them an order.

Each of these is an integration you enable, for a purpose you initiate. Once your data reaches one of these providers, it is also subject to that provider's own privacy policy, so we encourage you to review the terms of any service you connect.

Your Customers' Data

Much of what lives in PromoSoft is your customers' information, which you entrust to us to store on your behalf. We act only as a custodian of that data for you. We do not sell it, market to your customers, or use it for any purpose other than providing the service to you. You remain in control of it.

Service Providers

We rely on a small number of trusted infrastructure providers — such as hosting and email delivery — to run PromoSoft. These providers may process data strictly on our behalf, under confidentiality obligations, and only to help us operate the service. They are not permitted to use your information for their own purposes.

Legal Requirements

We may disclose information if we are legally required to do so — for example, to comply with a valid subpoena, court order, or applicable law, or to protect the rights, safety, and security of our users and the public. We will limit any such disclosure to what is required.

Security

We value your trust and use commercially reasonable safeguards — including encryption in transit and access controls — to protect your information. No method of transmission or storage is ever 100% secure, so while we work hard to protect your data, we cannot guarantee absolute security.

Data Retention

We retain your information for as long as your account is active or as needed to provide the service. If you close your account, we will delete or anonymize your data within a reasonable period, except where we are required to retain it to comply with legal obligations.

Cookies

Cookies are small data files stored on your device that act as anonymous identifiers. Our marketing site does not use cookies to track you across the web. The application uses only the cookies necessary to keep you signed in and the service functioning. Some third-party libraries we rely on may set their own cookies; you can choose to accept or refuse cookies in your browser, though refusing them may limit some functionality.

PromoSoft is a business tool and is not intended for anyone under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have, we will delete it promptly. If you believe a child has provided us with personal information, please contact us.

We may update this Privacy Policy from time to time. When we do, we will revise the "Updated" date at the top of this page, and significant changes will be communicated to account holders. We encourage you to review this page periodically.
